Who Pays for the Hotel Block?

When planning accommodations for a wedding, sports tournament or group trip, one of the most common questions is: Who pays for the hotel block?

In most cases, guests pay for their own hotel rooms when booking within the block.

However, whether the event host is financially responsible for any unbooked rooms depends on the type of room block agreement chosen.

What is a Hotel Room Block?

A hotel room block is a group of hotel rooms reserved in advance for event guests at an often-discounted group rate. These rooms are held under your event name or group code, making it easy for guests to book.

Hotel room blocks are commonly used for:

  • Weddings
  • Youth and professional sports tournaments
  • Corporate meetings and conferences
  • Family reunions
  • Group travel events, such as bachelor/ette parties

Types of Hotel Room Blocks

There are two types of room blocks to know about.

  • The Courtesy Block: This is arguably the more common option between the two. In this case, the hotel(s) you select will set aside a block of rooms for the number of guests you expect to book a room. Typically, those guests pay for their own rooms, just as they would when booking a hotel for any other trip. Also, with a courtesy block, you as the event host are not financially responsible for any rooms that were not booked by your guests.
  • The Guaranteed (or Contracted) Block: For this type of hotel contract, you agree to fill a certain number of rooms at the hotel(s) you select. If your guests don’t book all of those rooms, you may be responsible for paying for them. While that might sound scary, it’s rare that our clients pay for unbooked rooms. Through the thousands of guaranteed blocks we’ve negotiated on behalf of our clients, we’ve found that their guests typically book all the contracted rooms. This contract option is also more common at higher-end hotels, for larger groups, as well as during peak times. Plus, as an added bonus, guaranteed blocks may come with a steeper room discount and better concessions, like additional amenities, suite upgrades, and activations.

Who Pays for a Wedding Hotel Block?

For weddings, guests almost always pay for their own hotel rooms.

The couple typically reserves the room block to secure:

  • Discounted rates
  • Easy to reserve bookings
  • Convenient accommodations near the venue
  • A better guest experience by keeping everyone together

Exceptions may include:

  • Paying for hotel rooms for the wedding party
  • Covering accommodations for close family members
  • Paying for unbooked rooms in a guaranteed block

Who Pays for Sports Team Hotel Blocks?

For youth sports tournaments and team travel, families usually pay for their own hotel rooms.

In some cases:

  • Tournament organizers reserve blocks for convenience
  • Teams may require families to stay within designated hotels
  • Organizers may be responsible for unbooked rooms if the contract is guaranteed

This is why understanding the terms of the contract is so important.

Benefits of Booking a Hotel Block

A hotel room block can make travel easier and more affordable by providing:

  • Discounted group rates
  • Simplified booking for guests or families
  • Convenient locations near venues or event spaces
  • A more connected and enjoyable group experience

Final Answer: Who Pays for the Hotel Block?

In most cases, guests pay for their own hotel rooms.

The event host usually does not pay unless they choose a guaranteed hotel block or decide to cover accommodations for certain guests.

The best type of hotel block depends on your event size, travel patterns and goals. A guaranteed hotel block may offer stronger rates, better concessions and more availability, while a courtesy block offers more flexibility.
